Reporting Structure

This position reports directly to the Controller.

Primary Responsibilities

  • Accounts Receivable & Billing
    • Prepare monthly draft invoices and reconcile billing against project and vendor documentation
    • Assist in construction-specific billing, including reviewing and approving job related entries, processing of monthly client invoices and tracking retainage
    • Sends statements and make collections calls as instructed
  • Operational Coordination
    • Act as a liaison between Project Managers, field teams, and administrative staff
    • Coordinate project paperwork, invoices, and supporting documentation to ensure accuracy and completeness
  • Financial Support
    • Assist the Controller with chart-of-accounts maintenance
    • Support preparation of monthly financial statements and internal reports
  • Office & Administrative Management
    • Handle professional correspondence (phone and email)
    • Perform data entry, filing, and general administrative support

Qualifications & Requirements

  • Accounting & Software Experience
    • 3+ years of hands-on bookkeeping or accounting software experience required
      (e.g., QuickBooks, MAS 90 / Sage, SAP, Peachtree, or similar ERP/accounting systems)
    • 2+ years of Microsoft Office Suite with intermediate Microsoft Excel experience preferred
    • Experience with NetSuite, Shepherd, or other ERP systems is a strong plus
  • Education
    • College degree preferred (Accounting or related field), or equivalent professional experience
  • Compliance & Physical Requirements
    • Ability to pass a criminal background check and drug screening in accordance with the Massachusetts Fair Chance Act
    • Ability to manage office materials and files, with occasional lifting of up to 20 lbs
